Whenever you need it… your administrative work will be done on time and on budget.
General administrative work covers a wide variety of tasks and office duties, customer support and more…from document preparation to telephone answering, translations, business letters and emails, record-keeping of all sorts, invoicing, A/R, A/P and so much more. Whatever the tasks involved, you need your admin needs met on time budget. Here are just a few…
Document Preparation – writing, proofing, editing, beautifying
Sometimes our clients need documents prepared. Maybe they need to post a job ad somewhere other than on social media or reply to customer inquiries using company letterhead and watermarks (do you have your logo yet?) or issue quotes and other things that require some knowledge of how to put professional documents together.
In business, there are expectations. A document put together like a text message with the aim of saving key strokes isn’t necessarily going to cut it.
There are times when proper sentence structure and punctuation really do make a difference and lack of attention to the smallest detail may not serve your best interests.
Business Letters and Emails – we’ll compose professional letters and emails for you, or we’ll transcribe and compose from your notes – it’s up to you. Either way, the recipient will receive a professional communication.
We use your logo and preferred style or, if you haven’t decided on your logo yet, we’ll use an appropriate professional style to represent you properly.
Telephone Answering Service – we will professionally answer your calls, pick up and return calls based on voice mail messages, take messages on live calls or provide whatever information and/or instructions you’d like.
Your customers will be treated like gold…as you would expect.
Translation – if you need to communicate in a different language, we translate for you. We triple check the translation to ensure it makes sense.
Record keeping, Invoicing, Statements, Quotations, Reports…everything you can think of.
Who should do all of the administrative work?
As a business owner, at some point you will need to engage the services of a qualified professional accountant to produce your financial statements and tax returns and to give you tax advice.
Throughout the fiscal period, there are many accounting related tasks that need to be completed on a regular basis and we can do many of those things for you throughout the month and year so you’ll save money on accountant’s fees.
One accountant at a relatively large firm said…
“You can bring me completed and organized receipts, forms, documents etc., or I’ll have someone on my staff organize them for you. The difference is, I’ll have to charge you a minimum of $100 per hour.”
Your document retention and organization are important to ensure that your tax returns can be completed properly. But it shouldn’t cost you an exorbitant amount!
Tell us what your accountant wants and we’ll start tracking and recording whatever is needed for you to simply hand over at the end of the period. We can work electronically and/or with paper, depending on the requirements.
Organization – On spreadsheets, we will record receipts in expense categories specified by the relevant tax authority.
We’ll work with your account statements – bank, credit card, PayPal and others to ensure all of your auto payments to various internet related services (Merchant Accounts, Shopping Carts, Email Marketing and many others) are properly charged and recorded.
Invoicing – We will issue invoices for you – whether you want them attached to emails as pdf’s or printed out and mailed the old fashioned way.
Accounts Receivable – We’ll set up your customer accounts, do ledger entries and reconciliations, aged analysis reports, reminder calls, collection letters and generally keep you right up to date on the status of your A/R.
Accounts Payable – We’ll get your vendor accounts set up, match invoices with quotations and packing slips or other supporting documents, ledger entries, and account reconciliations. We’ll manage the payment process or hand it back to you for the final steps. Up to you.
